An LED traffic light RFQ should let the supplier quote a defined configuration and let the buyer compare that offer with the project schedule. A total quantity and a photograph usually leave too many questions unresolved.
For orders combining 200mm and 300mm signals, arrows, ball indications or pedestrian displays, the most useful document is a line-by-line equipment schedule with a controlled revision.
Give each configuration its own line
Assign a reference to every distinct assembly. Record the location or intersection, indication, size, aspect arrangement, quantity and supply boundary. Specify whether each line represents a complete head, a module or another component.
Use a separate drawing reference for variations in mounting or access. Two heads that look the same from the front can have different rear interfaces or supplied accessories.
Attach the electrical information
Provide supply requirements, controller output documentation, terminal identification and any relevant monitoring, dimming or countdown interface. If the existing system is undocumented, identify what must be investigated before the order can be released.
Do not ask the supplier to infer the electrical version from a cable colour or country name. A technically useful request contains the information for the actual installation.
Identify acceptance evidence early
List the documents and checks required by the project. Distinguish supplier production records, any required third-party reports and site commissioning records.
Specify how proposed alternatives will be reviewed. Where the supplier cannot confirm a requirement, request an explicit exception rather than leaving the quotation silent. This keeps unresolved details visible to the purchasing and engineering teams.
Make shipment identification part of the order
Agree how cartons and component labels will refer to the approved schedule. A practical packing list links model, quantity, drawing revision and location or order-line reference.
For spare components, keep their compatibility references alongside the main equipment. Do not use a shared label such as “300mm green” when the project includes several electrical or optical versions.
Control revisions between quotation and release
If an engineer changes the indication or interface, update the schedule revision and ask for a revised response. Retain the approved quotation, exceptions and drawings together.
Before release, check that the sample review, production scope and packing requirements refer to the same configuration. This is a document-consistency check, not a substitute for the project’s technical approval.
Send a request that can be answered
Include the destination, quantity by configuration, required project dates and any special documentation request. Dates should be discussed with the supplier; do not assume a website’s general statement is a commitment for a mixed order.
Download GAOQIAO’s traffic light RFQ checklist, review the LED traffic light buying guide, and email the completed schedule to sky-sale@njgq.net. The team can then review the specific product and documentation requirements.
