Preparing an OEM follow-up after a product showcase
Describe the change you need
A showcase reference is useful for explaining a starting design. Mark the product or feature you want to discuss, then distinguish the parts to retain from those to change. A different symbol, mounting arrangement, label or electrical configuration should be identified clearly in the enquiry.
Include a drawing, sketch or artwork reference where it communicates the requirement more precisely than a photograph. State the intended application, expected quantity and destination. This helps the supplier separate an existing option from a request that needs additional design or documentation review.
Agree how the proposal will be reviewed
Request a written configuration description and identify any unresolved details. If a sample or revised drawing is needed, agree what it represents and which features will be checked. Do not assume that every feature visible in a demonstration is included in the base quotation.
Ask how customization affects the supplied documentation and any project-specific evidence. A change to the optical arrangement, housing or supply may need a different review from a change to packaging artwork. Keep those requirements visible before the order is approved.
Create a repeatable order reference
Retain the approved drawing revision, artwork and supplied-parts list with the purchase order. Use the same references when asking about repeat quantities or replacement parts. A clear approval record is more reliable than asking the production team to reproduce an item from an exhibition photograph alone.
