Prepare the acceptance record before the inspection
Start with the purchase order and approved equipment schedule. Assign each item a model reference, indication type, diameter, input rating and quantity. Identify whether the delivery contains complete signal heads, replacement modules or accessories. This prevents a successful demonstration of one sample from being mistaken for acceptance of every configuration in the order.
Record the evidence for each agreed check
Use a worksheet with columns for the requirement, inspection method, result, supporting photograph or document, and reviewer. Photograph labels and terminal markings so the tested sample can be matched to the shipment. Ask qualified personnel to perform electrical checks using the approved test procedure and model documentation. Record the equipment used and any limits on the test; a basic functional demonstration does not replace a required independent laboratory report.
Close discrepancies before release
List missing documents, damaged parts and configuration differences separately. Agree who will correct each item, what evidence is needed and whether a repeat inspection is required.
